Rental Policy

How to book your rental:

  1. Call us with your exact dates and item request.
  2. We will confirm pricing, availability, and email you a rental agreement.
  3. Read, sign, fax and mail the agreement back to hold your reservation.
  4. We will ship the equipment on your scheduled date.

If you are new to camera housings, please give us a call. If you give us a description of your shoot, we can help you select the best camera, housing and optics for the job. We are happy to give you shooting and maintenance advice.

Reservations:

Because all equipment is rented on a first come- first serve basis, a reservation is recommended and may be scheduled up to 90 days in advance. A 20% deposit is required at the time of booking confirmation and acceptance with the balance due in full 15 days prior to the rental date.

Deposits:

A deposit for the full amount of the equipment value is required for every rental. The deposit must be made with a Visa, MasterCard or American Express credit card with a sufficient limit to accept the full amount of the deposit. The deposit is made in the form of an authorization hold, which holds funds in the amount of the deposit for 7-10 days. Cashiers check or cash is also an acceptable form of deposit.

Cancellations:

All reservations must be cancelled with a minimum of 15 days advance notice. Cancellations with less than 15 days advance notice are subject to a cancellation fee equal to 50% of the full amount of the rental rate.

Charges:

All charges are on a per day- per item basis unless it is a package that has been rented. Weekly rates are equal to 4 times the daily rate. Monthly rates are equal to 3 times the weekly rate.

Prices:

Prices, deposits and specifications are subject to change without notice.

Aquatic Camera’s rental prices are based on the premise that the operators are experienced and well-trained. Our gear is professional equipment and is not recommended to the inexperienced unless they take time to have an orientation with Aquatic Camera. This is strongly recommended. Failure to understand the equipment operation is not an excuse for non- payment.

Insurance:

Insurance coverage is the responsibility of the renter and is strongly recommended due to the high replacement value of most of the equipment. As the renter, you assume full responsibility and are completely liable, for the condition of the rental equipment while it is in route to you and in your possession. Proof of insurance may be requested prior to the rental. See coverage requirements under insurance policy.

Loss or Damage:

The renter agrees to assume full responsibility for all rental equipment in their possession and also agrees to compensate Aquatic Camera, LLC for any and all rental equipment that is lost, stolen or damaged. This includes paying for all repairs up to the full replacement value of the equipment if it is damaged beyond repair, and full replacement value for stolen and lost equipment. The renter will also be charged a rental fee for the time period in which damaged equipment is out for repair or until payment is received for replacement equipment.

Equipment:

It is highly recommended that you inspect all equipment before accepting the rental. Although Aquatic Camera’s inspections and maintenance prevent most problems, it is not possible to predict all potential problems. Notify Aquatic Camera immediately of any problem with any rental equipment. Failure to do so may result in a full rental fee.

You must waterproof the equipment prior to use by performing standard O-ring maintenance. Please call us if you are not familiar with standard maintenance techniques. We will be happy to instruct you.

Spare Bulb, O-ring & Instruction Manual Policy:

Spare bulbs are provided upon request. O-rings are included as part of our standard rental. There is no charge for the use of spare bulbs or o-rings as long as the “burned out” bulb or used o-ring is returned. However, any missing o-rings or bulbs, shock-failures, over-volting or bulbs that show signs of overheating will be charged to the renter. Instruction manuals will be provided and will be charged for if not returned.

Spare Batteries Policy:

Alkaline, lithium and silver oxide batteries are considered expendable items and are the responsibility of the renter. Aquatic Camera will supply nickel metal hydride or lithium ion rechargeable batteries and chargers for equipment that requires proprietary batteries. A list of necessary batteries will be given to you at the time of reservation.

Out of Town Rentals:

Aquatic Camera is happy to accommodate out-of-town rentals. We recommend you schedule delivery a day or two prior to use to familiarize yourself with the equipment prior to your shoot. This also gives you the opportunity to call us with any questions you may have about the set up or use of the equipment. Freight charges are billed to the renter, and rental charges begin the day the equipment is shipped, and ends the day the equipment is received by Aquatic Camera. We are not responsible for any and all delays caused by the carrier, and the renter is responsible for any and all additional charges incurred due to late shipment. We suggest that the weekly rate is taken advantage of and the equipment is shipped out 48 hours in advance. All equipment will be shipped next day air unless otherwise requested.

“Try before you buy” Policy:

If you rent equipment for the purpose of trying it out before purchasing that item, the following applies to the purchase of the same/ equivalent item(s):

  1. Up to one days rental charges may be applied to purchase.
  2. To qualify for the full one day rental credit the order must be placed and paid in full at the end of the rental period.
  3. Orders placed within 30 days of the end of the rental period are eligible for a 50% credit.
